Rotely Privacy Policy
This Privacy Policy explains how Rotely LLC ("Rotely", "we", "us") collects, uses and shares information when you visit rotely.co, sign up, or use the Rotely service, including by text message.
Rotely is a tool for bars and restaurants. Our customers are businesses. We don't try to collect information about bar guests or other consumers.
The short version
- We collect what we need to run your inventory, invoices, orders and texts.
- We do not sell personal information.
- We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes.
- We use a few service providers (hosting, texting, AI, email, error tracking, payments) only to run Rotely.
- You can ask us to see, fix, or delete your information.
1. What we collect
From the sign-up form on our website: your name, bar name, mobile number, email, and whether you checked the optional text-message box (with the date, time, and the wording shown to you).
When your business uses Rotely:
- Names (usually first names), mobile numbers, and sometimes email addresses of owners, managers and staff your business adds.
- Names and mobile numbers of supplier reps your business adds, and whether each rep confirmed their number.
- Sign-in records (codes and links we send, and when they were used).
- Supplier invoices you send us (photos by text or email, or uploads) and what's on them - products, quantities, prices, and supplier details.
- Your POS's daily sales report (sales by item).
- Your counts, pars, prices, costs, orders, and notes.
- Text messages you send to and receive from Rotely, and text opt-in and opt-out records.
Automatically: basic technical information when you use the website or app - like IP address, browser type, pages used, and error reports - to keep Rotely running and secure.
Payment information: if you pay by card or bank account, Stripe collects those details. We don't see or store full card or bank account numbers.
Please don't send us: card numbers, bank account numbers, Social Security numbers, passwords, health information, or bar guests' personal information. If something like that arrives on an invoice, we don't use it and try to remove or hide it.
2. How we use it
- To run Rotely: build counts, read invoices and sales reports, draft orders you approve, compare prices, and send summaries and alerts.
- To sign you in and keep accounts secure.
- To send texts and emails you asked for, and to provide support.
- To bill your business.
- To find and fix errors and improve Rotely.
- To create aggregated, de-identified information (for example, average prices across many bars) that does not identify any person or business.
- To follow the law and protect our rights.
We don't use your information for advertising, and we don't have ad trackers on our website or app.
3. AI
Rotely uses an AI model from Anthropic to read invoice photos, emails and text replies. Anthropic processes that content to give us a result. Under Anthropic's commercial terms, API inputs and outputs are not used to train its models by default. AI can make mistakes - please check what Rotely reads before you rely on it.
4. Text messages
- We text only people who have agreed to receive texts from Rotely (by texting START with a code, by checking the optional box on our sign-up form, or, for supplier reps, by confirming their number).
- Texts include sign-in codes, counts and reminders, weekly summaries, alerts, and order drafts. Message frequency varies. Message and data rates may apply. Reply STOP to opt out, HELP for help.
- We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes.
- Mobile opt-in data and consent will not be shared or sold to third parties, affiliates, or lead generators for marketing or promotional purposes.
- Our texting provider (Twilio) handles phone numbers and message content only to deliver our messages. We keep records of opt-ins and opt-outs to honor your choices.
5. Who we share with
We share information only as follows:

Within your business: people your business adds to Rotely can see your business's data according to their role.
Suppliers you approve: when you approve an order, we send it to the supplier rep you chose.
Legal and safety: if the law requires it, or to protect the rights, safety or property of Rotely, our customers, or others.
Business transfer: if Rotely is sold or merged, information may transfer to the new owner, who must follow this policy. SMS opt-in consent is not transferred for marketing purposes.
We do not sell personal information, and we do not share it for advertising.
6. Cookies
We use only the cookies needed to keep you signed in and to keep the site secure. We don't use advertising or tracking cookies.
7. How long we keep it
- While your business uses Rotely, we keep your data so the service works.
- After your service ends, you can ask for an export for 30 days. We then delete your business's data from our live systems within 60 days, and from backups as they roll off on their normal schedule.
- We keep billing and tax records as long as the law requires, and opt-in/opt-out records as long as needed to prove consent and honor opt-outs.
- Aggregated, de-identified information may be kept.
8. Security
We use reasonable safeguards: encrypted connections (HTTPS), access limited to people who need it, secrets kept in a password manager, and sign-in by one-time code or link. No system is perfectly secure. If we learn of a security incident that affects your information, we'll notify you as the law requires.
9. Your choices and requests
- Texts: reply STOP anytime.
- See, correct, or delete: email support@rotely.co. We'll respond within 30 days. If you are a staff member or supplier rep added by a business, we may refer your request to that business, because the business controls its account - but we will always honor a STOP or a request to stop texting you.
- We won't treat you differently for making a request.
10. Children
Rotely is for businesses and is not meant for anyone under 18. We don't knowingly collect information from children.
11. Where information is stored
Rotely is operated from the United States and information is stored in the United States.
12. Changes
If we change this policy in a way that matters, we'll update the date above and tell customers by email or text before the change takes effect.
